After experiencing growth on growth as the leading cake supplier to the supermarkets, BakeSense required a new business system to replace their existing Sage system as it could no longer handle their daily transactional volume. 

‘It was having a negative impact to the business, the system would crash several times a day and would need to be restarted in order for the problem to be resolved.’ Explained Rachel Gorrod, Financial Director. 

Because BakeSense operate as a broker to the main-line supermarkets, Total Enterprise Solutions suggested a new procedural workflow which would automatically create purchase-orders to the various bakeries and also a new bespoke interface for processing the haulage company’s proof of delivery documents.This system utilised Navision’s direct-shipment functionality and thus resulted in a reduction of the user-time to manually process an order and greatly reduced the human interaction with the system, enabling BakeSense to increase their operational efficiency.

‘The processing of orders within the business is now done in half of the time our old system could achieve.This means that we can allocate resources into other critical areas of the business.’ – Philip noted.

A new management reporting pack was also implemented at BakeSense which gives a full view of the business’ key performance indicators.Dynamic on-screen reports were created to enable cross referencing of all critical sales and user data.

‘I have the ability, at the touch of a button, to view all of the sales information, giving me the insight I need into my business to direct sales to push new and existing products to our customer base’, Philip explained.

Solution

Microsoft Dynamics-NAV Advanced Management Edition

After deciding enough was enough, BakeSense set about researching new possibilities and contacted Total Enterprise Solutions.Total Enterprise Solutions recommended the Microsoft Dynamics-NAV system since it would integrate into their existing EDI system, Spectrum Professional, from Freeway Commerce.

‘Ninety percent of the orders arrive electronically so it was necessary that any new potential system could be adapted to upload orders from Spectrum.’ – Rachel added.

Total Enterprise Solutions then contacted Freeway to discuss the possible amalgamation of the two systems and engineered a prototyped solution before any decision was made.
