Microsoft Dynamics NAV or Microsoft Dynamics GP

The familiar Microsoft software you know and love, but which to choose?

Following Directions 2018 and the strong roadmap for Microsoft Dynamics NAV, we have been contacted by many Microsoft Dynamics GP customers enquiring what the future looks like for them. When implementing Microsoft Dynamics NAV, Microsoft have a 10 year extended life cycle support policy. NAV 2017 already takes us to 2027 with guaranteed investment and support from Microsoft. NAV 2018 is being released in December 2017 by Microsoft, followed swiftly in 2018 by the release of Microsoft Dynamics 365 Tenerife the next release of NAV. The future looks bright for NAV.
We are finding more GP users comparing the strong roadmap of NAV to that of GP, leading them to engage in discussions with TES regarding migrating from GP to NAV. Microsoft enables Dynamics GP users to trade in their current GP licence value against a new NAV license, when combined with the TES migration tools from GP to NAV. This makes for a commercially attractive proposition to switch and take advantage of the wider NAV functionality and roadmap from Microsoft.

Microsoft Dynamics 365 Tenerife will be the latest release of NAV from Microsoft offering on premise, in the cloud or Saas deployment options. You can see our infographic on this here.

Over 2000 people met in Madrid in October from across the globe to witness the latest NAV developments at Directions EMEA 2017. A clear message was delivered by Microsoft around their investments in NAV and Office 365 to support digital transformation in organisations so that they can remain competitive in todays world. You can read more about Microsoft Dynamics Tenerife and Microsoft Dynamics 365 here.

Whilst there are many similarities between NAV and GP we wanted to highlight some of the variances that clients consider when switching from GP to NAV.

Essentially, they are both comprehensive ERP solutions with an array of powerful tools to enable you to manage your business’ finances, operations, human resources, projects, supply chain, and manufacturing processes. Both are Microsoft products, which mean that they work seamlessly with other Microsoft solutions and systems. It also means that they have a familiar, intuitive user interface that enables users to adopt it and learn it quickly.
Microsoft Dynamics NAV is well suited for both out of the box use and customised solutions, and ideal when you need to develop a specific functionality for your sector. It is easily scalable to support your growth used by organisations from 5 users to 1000’s of users, meeting the needs of your business now, tomorrow and in the future, due to the Microsoft long term commitment and investment.

Microsoft Dynamics GP whilst it is easy to implement, quick and easy doesn’t always support your long-term goals. It is an out of the box ERP solution with limited customisation, UK partner network and roadmap.

Some variances to consider

Financial management –
GP: Includes a range of functionality for financial management and fulfils your specific business needs with control and security
NAV: Complete functionality for financial management and a more flexible accounting plan that can trace financial transactions through account dimensions. We also offer a Total Approvals portal that enhances the NAV system for comprehensive budget management, including mobile approvals for budget holders.

Reporting –
GP: You can easily configure and run consolidated accounts.
NAV: With NAV you get a flexible reporting structure, which means you can deliver results in exactly the way your company requires.

Sales order processing –
GP: Includes ‘out-of-box’ features that enables automated sales order processing with customised Word templates which can be e-mailed to customers, and the ability to collect line item billing information for items not in stock.
NAV: Invoice for stock and non-stock items. Leverages the flexible reporting tool that helps to create invoices which are based on the company’s or customer requirements.

Payroll –
GP: Payroll functionality is an ‘out of the box’ functionality in Dynamics GP.

NAV: Payroll functionality is available through an integrated third-party solution, such as sage payroll system.

Procurement –
GP: Equipped with material requirements planning functionality, GP makes possible procurement decisions and precise procurement adjustment according to specific requirements.
NAV: Comprehensive procurement functionality provides real-time access to order status, product specification, production plans, inventory, requisition management and purchase order authorisation.

Manufacturing –
GP: Sales forecasting, job costing, quality assurance, engineering change management and capacity requirement planning is all included in GP.
NAV: NAV improves performance from production, and your shop floor to the bottom line. By controlling different manufacturing areas ranging from order entry to delivery, leveraging tools specifically for production orders, supply and capacity, planning, agile and manufacturing, version management, demand forecasting machine centres, finite loading and production scheduling.

Inventory Management –
GP: Controls inventory by managing it on a site-by-site basis, reduces handling and increases accuracy for single and multisite warehouse operations, and ensures the right inventory is available to meet customer needs
NAV: Efficiently track inventory items with multiple characteristics in order to reduce the number of inventory items in the system.

Project Management –
GP: Time sheets, expense reports and resource control along with the billing functionality help you control project direction, cost and completion.
NAV: With support for budgeting and resource management NAV enables you to plan, manage and track projects by tracking expenses, predicting availability and planning capacity.

In conclusion both NAV and GP have their Pro’s and Con’s for customers depending on their requirements, however, when looking at the level of investment from Microsoft in NAV / Dynamics 365 “Tenerife” and the clear position it has within the Dynamics 365 / Office 365 family going forward a review of the migration options from GP to NAV should be well worth a small investment in time.
This is further emphasised when looking at the size of the NAV partner network and customer base within the UK and rest of world.

Microsoft Dynamics NAV is a multi-language, multi- currency enterprise resource management solution that organisations worldwide use to manage their accounting and finances, supply chain and operations.

Microsoft annually reviews, and updates Dynamics NAV to ensure you are always equipped with the latest technology.

Many prestigious organisations are using Microsoft Dynamics NAV to reach their goals and objectives.

Want to simplify your organisation, but not sure where to start?

Our ACCA Accredited Financial Consultants will delve into your business, establish your needs and write an in-depth proposal, so what you’re getting is crystal clear.
Then commence the training of key users, our approach is designed to ensure that Key Users understand NAV functionality, prior to making design or configuration decisions. We run application training and design workshops, where the Key Users are experiencing standard setup.
System Configuration and customisation. A TES developer will develop any customisations as agreed and documented in the scoping analysis phase. All development is documented and can be used as part of the final training pack.

User Acceptance Testing

Another key stage of the delivery cycle, UAT is a planned period during which the business can fully test all areas of the system development and configuration in order to ensure that the software meets the initially identified requirements and will support the business in a live environment.

System Walk Through

The System Walkthrough can be considered as a trial go-live event, the purpose of which is to collectively evaluate the system delivery against defined success criteria, as well as ensuring that the business users are ready to go-live and that Dynamics NAV will support the business.

End User Training

Our suggested approach is that End User Training is run by the business’ Key Users – this helps to embed the system knowledge within the business and empowers the Key Users to become a point of contact for questions/issues as the system is embedded into the company. If required, however, TES can assist with End User Training, in part or in full. For example, the development of a training plan, the creation of training materials, right through to running training sessions across the End User base.

Go Live

We understand that project delivery does not stop on go-live day. TES will ensure an on-site presence on the day of your go-live, plus an agreed number of days thereafter. The project delivery team will work closely with the TES Service Desk to undertake a structured handover that ensures seamless ongoing support to the business.

We’re Live, what’s next? Welcome to the TES Community.

Fraud named as the biggest threat to charities.

Three high-profile cases of fraud have been reported this summer, naming fraud as the biggest threat to charities currently and in the future.
Fraud costs the charity sector £1.9bn every year. This is a substantial sum of money taken away from the charities, and most importantly the people they help.
The fraudsters attack in a variety of forms both online and offline. There are various resources and procedures you can put in place to ensure your organisation isn’t one of the statistics. Here at Total Enterprise Solutions we have under gone the ISO 27001 certification, which includes independent reviews of information systems, and processes, to ensure security measures conform to accepted standards.

Yesterday our Operations Director, Shane Clarke, and our Head of Support, Change and Resourcing Jetta Clarke, attended BSI HQ to collect our certificate.

We are passionate about all things Microsoft Dynamics NAV, and pride ourselves on delivering the best service to our customers, which is why we constantly strive to ensure we are as robust against hacking, and fraudsters as we can be.
ISO 27001 is our cyber commitment to security. If you would like further advice and guidelines on Microsoft Dynamics NAV, protecting your organisation against fraud or GDPR please do not hesitate to get in touch.
Our friends at the CFG are running a Counter Fraud Campaign, you can read more about this here.

There is also a wealth of information and resources regarding anti fraud from Charities Against Fraud.

Five Things To Consider When Choosing your Microsoft Dynamics NAV partner

1.Are they aligned to your values?

Choosing the right partner is vital to maximizing your investment in your ERP system. Ensuring the provider is aligned to your values and business goals will insure your maximum return. A partner that fully understands your needs will enhance the functionality and performance of Microsoft Dynamics NAV. They should also boast a selective but appropriate add on collection you can implement as your business requires.

2. Do they have good digital health?

Every day we read about hackers, data leaks, or information loss. Choosing a partner who is security conscious, and digitally secure is vital to protect your business and customers. We have become ISO 27001 certified to evidence we continually strive to improve our data security, review and address threats. This not only protects our business but also our customers can rest assured we are doing all we can to be secure.

3.Will they let you taste it?

Ensure you try before you buy. With the digital age Webinars are an easy, but intimate way to ensure you are buying exactly what you’re looking for in your ERP system, or an add on to enhance your system. Choose a provider who will really allow you to taste the software before you commit to a purchase. A software demonstration with a rep will also allow for a Q&A session with a NAV specialist who can really show you the capabilities to suit your business.

4. Ensure they scope it out

Perception is 90% of the truth. What you think you’re getting maybe far from the reality. We advise substantial scoping initially to ensure you’re getting what you need, in the time frame you need it, for the price you agreed. Avoid any nasty surprises at the end, systems that fall short, or great functionality you wish you’d had bespoke, by ensuring your partner scopes out your requirements thoroughly. At TES we pride ourselves on a crystal clear proposal so both parties are aligned with what we are going to achieve, and how we are going to do it.

5. Do they share the knowledge?

Knowledge is power, effective training and empowerment of users is vital. Using Microsoft Sure Start training guidelines, and following a curriculum based training program maximises the knowledge we imbed in your organisation. We empower key users on customer sites to ensure we leave behind, a strong confident network, which allows a smooth transition to your new ERP system and maximises it’s use. If there are any issues we use ServiceNow which is a transparent self-service portal to allow customers to see any cases that are open, any work in progress, or closed cases. Sharing this information both internally and with our customers allows everyone to be kept fully updated and current.
